They are set up using a Reader + Channel Extender configuration, where a locker reader connects to control boards and lockers are mapped through channels.

How Lockers Are Structured Behind the Scenes

This is where the actual control comes from. Each locker setup includes:

  • 1 to 4 boards
  • Each board supports 16 channels
  • Each channel maps to one locker

In simple terms, control flows from boards → channels → lockers.

  • A locker can belong to only one board
  • Boards are connected in sequence:
    Reader → Board 1 → Board 2 → Board 3 → Board 4
  • Physical wiring and system configuration must match
  • If mapping is incorrect, locker behavior won’t work as expected.

How Locker Access Actually Works

Now let’s look at what happens when a user tries to access a locker.

The flow is straightforward:

  • User goes to the locker
  • Taps their credential on the locker reader
  • System verifies identity and assigned locker
  • If valid then locker unlocks
  • If not then access is denied

A couple of important behaviors:

  • Lockers do not open without valid authentication
  • Every unlock requires fresh validation (no session-based access)
  • If the reader is offline then lockers cannot be accessed

One User, One Locker (With Shared Flexibility)

This is where the system introduces some smart rules.

Rule 1: One Locker Per User

Each user can be assigned only one locker per locker access point. 

Rule 2: One Locker, Multiple Users

At the same time, a locker can be assigned to multiple users. This is useful in real-world scenarios like:

  • Shared teams
  • Rotational usage
  • Temporary access

And importantly:

  • Each user can unlock the locker independently
  • One user’s access does not affect others
  • Every access attempt is validated separately

This keeps the system structured while still allowing flexibility when needed.

How Admins Manage Locker Access

Even though the system has strict rules, managing it is quite simple.

Admins can assign locker access in multiple ways:

  • While creating a new user
  • From an existing user’s profile
  • Directly from the locker access point interface

For bulk operations:

  • Multiple users can be assigned to the same locker
  • Permissions can be updated or reassigned anytime

There’s also built-in validation:

  • If a user already has a locker then system prompts for reassignment
  • Only Super Admins and Site Admins can manage locker permissions

Multi-Credential Access (Present and Future)

Think about spaces like lobbies, parking, or common amenities, these are meant to be accessible across tenants. But at the same time, office floors or internal areas need to stay restricted to specific organizations.

OptiSpaces handles this by combining floor-level permissions with tenant-aware access control. Every floor is mapped, and access is assigned based on both the user’s identity and the tenant they belong to.

So in practice:

  • Shared floors can be made accessible across multiple tenants (when allowed)
  • Private floors remain restricted only to the relevant tenant

This ensures shared access doesn’t break tenant boundaries.

How Admins Actually Manage This

Currently, locker access is card-based, but the system is designed to support:

  • Mobile credentials (BLE / NFC)
  • QR-based access
  • Unified identity-based access

This allows a single identity to work across lockers, doors, and elevators.

So instead of managing separate systems, everything connects back to a single user identity.
